Text works as soon as you verify your number. Voice notes are transcribed once you switch Voice capture on in Settings.

Forward it, and it’s filed

Every account gets a private capture address. Forward from whichever mail app you already live in, and that email becomes one note: the subject is the title, the body is the note.

Files aren’t stored. Notivo lists the attachment names and says so.
Only mail from a sender address you verified is accepted. Notivo never replies, so there are no bounces and no auto-responders.

Mint a personal token in Notivo, then send a note with a single request: an Apple Shortcut on your home screen, a keyboard macro, a cron job, anything that speaks HTTP. The @names and #tags get picked out by the same code the editor uses.

The boundary

What Notivo won’t capture.

Every door in is one you open yourself, and each one is narrower than you might expect. That is the design, not a limitation.

Your chat history. The connector saves what you point at with @notivo. It has no tool that can read, search or list a note, so nothing comes back out of your Notivo and into the chat.

Your inbox. Notivo has no access to it. It only sees a message you forward, from a sender address you verified, and it never mails anything back.

Your files. Nothing you attach is stored. Notivo writes the filename into the note and tells you the file was not saved.

What was said in a meeting. The calendar gives Notivo a title, a time and a guest list. There is no transcript, no recording and no audio in the feature at all.

Your team’s activity. Notivo captures what you observed, never what your people do. It never scores, rates or ranks the people you write about. A notebook, not a tracker.

The Black Box. Every channel writes an ordinary private note. A note marked for the vault is refused outright, on every channel, including a spoken one.

A captured note is a regular private note, scoped to your account and stored on secured infrastructure. It is not end-to-end encrypted; only the Black Box vault is. Voice notes are turned into text by a third-party transcription model, so the audio does leave Notivo to be transcribed.

The honest version

Can my AI assistant read my Notivo notes?

No. The connector gives your assistant exactly three tools: save a plan, save a note about a person, and list the capture topics you configured. None of them can read, search, list, edit or delete a note. It can add to your Notivo and nothing else.

Do I need a paid AI plan to connect?

It depends on the assistant. Claude works on any plan, including Free, using its one custom-connector slot. ChatGPT works only with Developer Mode turned on and a paid ChatGPT plan (Plus, Pro, Business, Enterprise, or Edu). That paid requirement is set by OpenAI, not by Notivo. On the Notivo side, setting your topics is free, and saving from a chat is part of the Notivo Plus plan.

What happens to files I forward by email?

They are not stored. Notivo lists the attachment names in the note and says plainly that the files were not saved. If you forward a contract, you get a note that mentions the filename, not the contract. Forwarded mail also keeps its quoted history, because trimming a forward would throw away the part you meant to keep.

Does connecting my calendar mean Notivo reads my meetings?

It reads the title, the time and the guest list of meetings on your own primary calendar. It never reads the description, and there is no transcript, recording or audio anywhere in the feature. It uses that to ask whether a meeting was worth a note; your answer is the note. An event never becomes a note on its own, and Notivo only ever prompts you about people already in your Notivo.

Is a captured note secure and private?

A captured note is a regular Notivo note, private by default and scoped to your own account, stored on secured infrastructure. It is not end-to-end encrypted; only the Black Box vault is, and no capture channel can write into the Black Box. Treat a captured note the way you would any private cloud note.
